General ledger
A general ledger that is always current.
Every balance is live the moment an entry posts. Double entry carries entity, department, class and project, every statement line drills to the entry and the document behind it, and the audit log only ever adds.

- Perpetual balancesLive balances on every account, with no overnight rebuild.
- Four dimensionsEntity, department, class and project on every line.
- Drill-downStatement line to entry to source document.
- Period locksGlobal or per entity, lifted only with a name attached.
What you get
Live, not rebuilt overnight
A perpetual ledger updates balances as each entry posts. The trial balance, the statements and every dimension cut read the same entries, so there is no month-end rebuild to wait for.
Traced to the source
From any line on a statement you open the entry, and from the entry the invoice, bill, bank line or contract that created it. An auditor follows the same path you do.
Append-only, by design
A posted entry is never edited or deleted. A correction is a new reversing entry beside the original, and the audit log records who did what, with a name on every line.
How it works
From entry to audit trail.
Pick a step to see it. The panel stays beside you while you read.
An entry will not post unless debits equal credits. Each line can carry an entity, a department, a class and a project, so the same entry feeds the statutory view and the management view.
- Four dimensions on every line
- Debits equal credits before it posts
- HST posts to its own payable account

| Account | Debit | Credit | Dept | Project |
|---|---|---|---|---|
| 1200 Accounts receivable | 4,812.00 | Sales | Fabrication | |
| 4000 Sales | 4,258.41 | Sales | Fabrication | |
| 2310 HST payable | 553.59 | Sales | Fabrication | |
| Total | 4,812.00 | 4,812.00 |
Every figure on a statement opens to the entries behind it, and every entry opens to its source document. The path from a balance to the PDF that justifies it is three clicks.
- Statement line to entry to document
- The same path for an auditor
- Works on any account, any period

Lock a period for the whole company, or for one entity at a time while another is still open. Entry numbers are gapless and allocated at the moment of posting, so a missing number is a finding, not a mystery.
- Global and per-entity locks
- Gapless numbers allocated at post
- A late entry needs the period reopened, with a name on it
Period locks
| Entity | Period | Status | Locked by |
|---|---|---|---|
| Harbourline Supply | Sep 2026 | Locked | Marc Tremblay |
| Harbourline Supply | Oct 2026 | Open | |
| Northline Supply | Sep 2026 | Locked | Marc Tremblay |
| Northline Supply | Oct 2026 | Open |
Every post, approval, reversal and reopened period is written to an append-only log with the person or agent that acted and the person who approved. Nothing is rewritten, so the log reads the same to you and to your auditor.
- Attributed to a named person
- Agent proposals shown as proposals
- Reversal beside the original, never a deletion

A monthly accrual, a depreciation run or a prepaid expense is set up once. Each period the entry is drafted from the schedule, reviewed and posted, and the remaining balance is always on screen.
- Monthly, quarterly or annual
- Prepaid amounts amortised over their term
- Each run reviewed before it posts
Recurring schedules
| Schedule | Frequency | Amount | Next run | Remaining |
|---|---|---|---|---|
| Prepaid insurance | Monthly | 1,000.00 | 1 Nov 2026 | 2,000.00 |

| Warehouse rent accrual | Monthly | 9,500.00 | 30 Nov 2026 |
Assets are recorded with their class and cost. Book depreciation runs on schedule, and the CCA pool by class rolls up to Schedule 8 for the tax return.
- Book depreciation and CCA side by side
- Schedule 8 by class
- Disposals adjust the pool

Architecture
One set of entries. Every view.

Questions
Questions, answered.
What is a perpetual general ledger?
A perpetual general ledger updates account balances each time an entry posts, instead of rebuilding them at period end. The trial balance and the statements are always current, and a period close confirms the numbers rather than producing them.
Can a posted entry be changed or deleted?
No. A posted entry is permanent. To correct it you post a reversing entry that sits beside the original, and the audit log records who posted each and who approved it.
How do period locks work with more than one entity?
You can lock a period for the whole company or for one entity. Harbourline Supply can close September while a sister company is still working in it. Posting into a locked period needs the period reopened, and the reopening is logged with a name.
Does the general ledger support CCA and Schedule 8?
Yes. Fixed assets are held in a register by CCA class with opening UCC, and the pools roll up to a Schedule 8 summary. Book depreciation runs beside it, so both views come from the same register.
Can I see cash-basis and accrual reports from the same books?
Yes. Every report can be read on a cash basis or an accrual basis from the same entries, and the basis is printed on the report. ASPE is the base presentation, with IFRS and US GAAP views.
